Speaking at a Council Meeting
The Town of Latchford welcomes public participation in Council and Committee meetings. Individuals or groups may request to speak to Council by submitting a Delegation Request Form in advance of the meeting.
What is a Delegation?
A delegation is an opportunity for residents, organizations, or other interested parties to address Council or a Committee on a specific matter. Delegations are typically scheduled as part of an official meeting agenda.
How to Request to Speak
To appear before Council or a Committee, you must complete and submit a Delegation Request Form to the Clerk’s Office.
Submission Requirements
- Completed forms must be submitted well in advance of the meeting date for review and scheduling.
- Include:
- Your name and contact information
- The organization (if applicable)
- The subject matter you wish to discuss
- Your specific request to Council
- You may request a specific meeting date and indicate whether your topic relates to an agenda item.
Once your request is received, the Clerk’s Office will contact you to confirm your placement on the meeting agenda.
What You Need to Know
Time Limits
- Delegations are limited to 15 minutes in total.
Agenda Considerations
- At Council meetings, delegations are generally limited to topics already included on the published agenda.
- At Committee meetings, delegations may address:
- Agenda items, or
- New business within the Committee’s jurisdiction.
Presentation Materials
If you plan to use presentation materials, you must:
- Submit all background materials and presentations in advance
- Provide electronic files to ensure compatibility with Town equipment
Accepted formats may include:
- PowerPoint (.ppt)
- PDF documents
- Images (.jpg)
- Video files (.mp4)
- Other formats (as specified in your request)
Attendance Options
Delegations may be conducted:
- In person, or
- Remotely (if available for the meeting)
Privacy Notice
Personal information collected through the Delegation Request Form is gathered under the authority of applicable legislation and will be used to prepare the meeting agenda. Submitted information will become part of the public record and may be published on the Town’s website.
